How to use the Learning Management System

The following is covered in this article:

This article will cover how to successfully create training content on the platform, build your course, and assign training to your employees.

Training content that can be hosted on the platform includes text, videos (either external or native), which can require forced viewing, as well as interactive elements such as various question types to make your course more engaging.

Additionally, there are several optional conditions that can be enabled to expand and add more functionality to your theoretical training content. All of this is covered in the article below.

Depending on permissions, only certain users will be able to create and assign training content to the locations and users they have access to. For Operandio's built-in roles, only users with Location Manager permissions and above will have access to the Training Manager and the ability to create content.

How to Create a Module

To create a training course, you must first create one or multiple modules. These modules act as the "chapters" of the course, forming the structure of a learning pathway where employees must complete the assigned content to pass the course.

The Training Manager, located on the left-hand side, is where all training content is created and stored. Content can be filtered by status (active or inactive) and is categorized into Courses and Modules.

To create your module, simply select Create > Create a new module in the top-right corner. This will take you to the next view, where you'll need to input the Module Name (e.g., "Welcome to the Team!") and can also add a description for the module.

Tagging is also available in the Training Manager, making it easier to generate reports and filter specific content.

From here, you can start adding content to the platform, whether it's existing content or new material you're creating. We recommend including a module image as a background to make the training course more engaging.

You will also notice that, as you begin building out your content, there is a mobile preview on the right-hand side of the screen. Since everything on the platform is mobile-first, this is the best place to view what your employees will experience and the layout they'll work through as they go through the course.

Now, you're ready to add your content!

To create content blocks and add your training material, select "+ Add a Step" at the bottom of your screen. This will allow you to create blocks within the module and build your content. After selecting the relevant type of step, you can drag and drop these blocks to reorder them in the way you'd like your employees to work through the material.

Content Steps

Please find below the different types of content that users can add to the platform, along with the functionality available for each option.

Content Block: This content block includes any text you'd like your employees to view. Whether it’s existing content or new material, you can use the built-in editor to create everything you need. Formatting and content options can be accessed by using the forward slash key ("/") on your keyboard.

These options include different formatting styles, the ability to add media (such as images and documents), and the option to include alert notes.

Video: Ability to include videos in your training courses. There are two ways to use videos: either by linking to external content through a video URL (such as YouTube, Vimeo, Loom, etc.) or by uploading native video content from your device. This might include content you've filmed within a venue and would like to incorporate into your training course.

Additional Condition When Uploading Native Videos: If the optional "Required Viewing" condition is enabled, it ensures that users must watch the entire video before moving on to the next part of the course. This is perfect for compliance purposes and ensures that all of your employees watch the training content assigned to them.

Including videos in training courses enhances engagement and provides a more dynamic learning experience.

Single Choice Question: Allows learners to select one correct answer from a list of options. Ideal for knowledge checks with a single correct response.

Multiple Choice Question: Allows learners to select one or more correct answers from a list. Useful for questions where multiple answers may apply.

True/False Question: A simple format where learners choose between True or False. Great for quick validation of understanding.

Additional Conditions:

  • "Correct Answer Required" – Users must select the correct answer before they can proceed to the next part of the course.
  • "Add Hint" – Displays a hint if the user answers incorrectly, helping guide them toward the correct response.

Text Response: Provides an open-ended field for learners to type their answer. Best used for reflective questions, explanations, or where subjective input is needed.

Additional Conditions:

  • "Correct Answer" – You can set a specific correct answer that the user must enter before they can proceed. This is useful when expecting a defined response rather than an open reflection.

How to Create a Course

Once your modules have been created in the platform, it's time to build a training course! You can include as many modules as you'd like—whether that's a single module or multiple modules within one course.

To get started, select Create in the top right-hand corner and choose Create New Course. From there, you can give your course a title, and optionally add a description and tag .

Once your course is created, building it is simple! Just add the existing modules to the course in the order you'd like employees to follow. Since the content already exists in the platform, all you need to do is select "Add Module to this Course" and add the relevant content.

Once the content is organized in the correct order to create a clear learning pathway for the employee, you can then utilize the optional Course Settings. These settings can be applied to enhance engagement, support compliance, and improve the overall learning experience.

Additional Conditions:

General Settings

  • Correct Answer Required
    • Learners must select the correct answer before they can proceed to the next section of the course.
    • Use this for knowledge checks and compliance training to ensure understanding.
  • Add Hint
    • A helpful hint appears when a learner selects an incorrect answer.
    • Ideal for guiding users toward the correct concept without giving away the answer.
  • Estimated Completion Time
    • Display the average time required to complete the course.
    • Helps users plan ahead and supports time-sensitive compliance goals.
    • Example: "Estimated Time: 25 minutes"

Scoring

  • Show User Score
    • Learners can view their final score at the end of the course.
    • Scores are also visible in their completion email and Your Training area.
  • Show User Answers
    • After completion, users can review the answers they submitted.
    • Useful for reflection and post-course discussion or coaching.
  • Required Pass Score
    • Set a minimum passing score for the course.
    • If the learner fails to meet this score, the course will automatically be reassigned for completion.

Completion / Due Date

  • Overdue Notifications
    • Specify a due date to ensure timely completion.
    • If the course is not completed within the timeframe, it will be marked as overdue.

How to Assign a Training Course to the Employee

There are two primary methods for assigning training content within the platform.

  1. Assigning Training from Within a Course

The first method involves assigning training directly from within the course you want employees to complete. Once you’ve opened the training course, you’ll find an “Assign Course” option. From here, you can choose to assign the course to individual users or select multiple employees at once.

The platform offers helpful filters to streamline the assignment process by location and area of work. For example, you can assign a course to all employees across all locations, or refine your selection to target a specific group - such as all Back-of-House (BOH) staff across the network. This ensures that the right training content is delivered to the right employees, based on their role or location.

Once you've made your selection, simply confirm the assignment. The selected users will be notified, and the course will appear in their main training dashboard.

  1. Assigning Training via the People View

The second method allows you to assign training from the People section of the platform.

To begin, navigate to the People view and locate the employee to whom you'd like to assign training. You can click into their individual profile and assign the relevant course from there. If you're assigning training to multiple employees, you can use the bulk select function to choose several users at once.

Once your selection is complete, use the “Assign Training” option to allocate the appropriate course. As with the first method, all assigned users will be notified and will see the training in their dashboard.

How to View Reports for Training Courses

To access training reports, simply navigate to the Reporting Dashboard and select the Training tab. From here, you can generate reports that provide valuable insights into compliance across all assigned training courses.

The platform includes powerful filters that allow you to narrow results by location, area of work, and specific courses, making it easy to access the information you need quickly and efficiently.

You can view training completion data at a high level or drill down to see the status of individual users and their assigned courses by selecting their profile.
