How to Make a User Inactive and Archive a User

In the platform, you can either make a user inactive or archive a user. These actions are related but serve different purposes:

  • Making a user inactive temporarily disables their access without removing their record from the system. This is useful if an employee is on leave or temporarily not using the platform.
  • Archiving a user permanently removes them from active lists but keeps their data in the system for historical reference. A user must first be inactive before they can be archived.

Steps to Make a User Inactive

  1. Navigate to People in the platform.
  2. Locate the user whose status you want to change.
  3. Edit the user’s profile.
  4. Change their Status to Inactive.
  5. Save your changes.

Steps to Archive a User

  1. Ensure the user has been set to Inactive.
  2. In the user’s profile, select the three dots on the right-hand side.
  3. Click Archive.
  4. The user will now be removed from active lists but retained in the system for historical purposes.
