Setting up the Employment Hero Integration

Setting Up Employment Hero Integration with Operandio

Welcome to the guide on integrating Employment Hero with Operandio! This integration allows you to sync employees from Employment Hero into Operandio as users, mapping them to locations, areas of work, and setting their permission levels. Here’s how you can set it up step-by-step.

Step 1: Access Settings and Integration Area

  1. Navigate to Settings

In Operandio, go to the Settings area.

  2. Go to Integrations

Once you're in the settings, click on the Integrations tab.

  3. Find Employment Hero

Scroll down and locate the Employment Hero integration. Click View and then Connect Employment Hero.

Step 2: Authorize Operandio to Connect to Employment Hero

  1. Authorize via Employment Hero

You’ll be redirected to Employment Hero, where you’ll be asked to authorize Operandio to access its API.

  2. Single Sign-On (SSO)

Depending on how your Employment Hero account is set up, the process may slightly differ, but you will generally be prompted with an SSO request to allow Operandio to connect.

  3. Grant Permissions

Review the permissions requested by Operandio (the scopes) and click Allow to confirm. This grants Operandio the ability to sync employee data.

  4. Return to Operandio

After you click Allow, you’ll be redirected back to Operandio, where the integration will be enabled.

Step 3: Label and Manage Multiple Integrations (Optional)

  1. Label the Integration

You can assign a label to this integration to identify it, especially useful if you have multiple Employment Hero accounts connected to Operandio.

Step 4: Create Mappings for Employee Data

Now that the integration is active, you’ll need to create mappings for your employee data.

  1. Select Your Organization

In the General Settings tab, choose the correct Employment Hero organization you want to connect to Operandio. This is usually your business name, though if your account is set up differently, it may show an ID.

  2. Set Default User Role

Choose a default user role for any new employees synced into Operandio. If not specified, Operandio will assign the base employee role.

  3. Mapping Custom Permission Levels You can map user roles in Employment Hero to custom permission levels in Operandio. To do this:
    • Create Custom Permission Levels in Operandio first.
    • Use these to map specific permission levels for users (e.g., Managers, Admins).
  4. Map Locations

Map locations in Employment Hero to Operandio locations. For each location in Employment Hero, you’ll need to create a corresponding location in Operandio to sync correctly.

  5. Map Areas of Work

Similarly, map the areas of work from Employment Hero to Operandio areas of work. You can map based on Employment Hero teams or groups (depending on how your system is set up).

Step 5: Sync Existing Employees (Optional)

  1. Run the Match Operation

If you have existing employees in Operandio, use the Match Operation to align them with your Employment Hero employees. This operation will also adjust their locations and areas of work based on the mappings you set.

  2. Synchronize New Employees To invite and sync any new employees from Employment Hero into Operandio, use the Synchronize Operation. This operation:
    • Syncs users.
    • Sends invites to new users to create Operandio accounts.
  3. Automatic Synchronization

You can set the synchronization to run automatically every 24 hours. This ensures that any new users or updates to existing users are synced regularly.

Step 6: Additional Options and Considerations

  • Re-sending Expired Invites

If an invite to a user has expired (after 30 days), you can re-send it automatically during the sync process.

  • Deactivating Inactive Users

If an employee becomes inactive or terminated in Employment Hero, Operandio can automatically deactivate their user account during the sync.

  • Additive Mappings

Operandio’s sync process is additive. If new mappings are made, they will be added to existing users in Operandio. Any changes in Employment Hero (e.g., new areas of work or permissions) will be added to Operandio without removing existing user assignments.

Step 7: Reconnect or Remove Integration (Optional)

If you need to reconnect or remove the Employment Hero integration, you can do so via the Integrations tab in the settings area.

Important Tip: Always use a full permission user in Employment Hero for this integration, and ideally, create a dedicated user account for the integration. This ensures that if someone leaves the company, their record being disabled won't affect the integration's functionality.

Troubleshooting Tips

  • Permissions Issues

If you're having trouble mapping permission levels, ensure that you've created the necessary custom permission levels in Operandio first.

  • Sync Failures

Double-check that the connections and mappings are correct. Re-run the match operation if needed to fix any discrepancies between Employment Hero and Operandio users.

Conclusion

That’s it! You've successfully integrated Employment Hero with Operandio, and your employee data is now synced and mapped. If you have any further questions or need assistance with troubleshooting, feel free to reach out to our support team!
