How to Run an Ad Hoc Job

This guide explains how to run an ad hoc job in the Operandio platform.

When creating a job in Operandio, the job creator can choose how the job is scheduled. If a job is set to run on an ad hoc basis, it can be completed on demand, whenever it is required by staff.

Ad hoc jobs are useful for tasks that do not need to be completed every day. Examples include:

  • A venue inspection audit completed randomly by head office
  • A goods inwards form completed only when the kitchen receives a delivery

Using ad hoc jobs allows teams to complete required work without cluttering the active jobs list with jobs that are not needed daily.

Ad hoc jobs can be run on any device (desktop or laptop, mobile device, or kiosk device), as long as the staff member has access to the relevant location and area the job is assigned to.

Run an ad hoc job on a mobile device

  1. Open the Operandio mobile app.
  2. In the bottom-right corner, select the + button.
  3. Select run ad hoc job.
  4. Choose the job you need to complete.
  5. Select run job.

This will create a new instance of the job template, which can then be completed.

Run an ad hoc job on a kiosk device

  1. Log in to Operandio on the kiosk device.
  2. In the top-right corner, select run ad hoc job.
  3. You will see a list of active ad hoc jobs assigned to the location the kiosk is registered to.
  4. Select the relevant job and choose run job.

This will create a new instance of the job template for the staff member to complete.

Run an ad hoc job on a desktop or laptop

  1. Log in to Operandio on your desktop or laptop.
  2. Navigate to active jobs.
  3. In the top-right corner, select run ad hoc job.
  4. Choose the relevant job and select run job.

This will create a new instance of the job template, which can then be completed.

Quick access using the plus menu (desktop and kiosk)

On both desktop and kiosk devices, a large + icon is available in the top-left corner. This provides a shortcut to create items in the platform, including running an ad hoc job.

  1. Select the + icon.
  2. Select run ad hoc job.
  3. Choose the relevant job and select run job.

An instance of the job template will be created and ready to complete.

Optional settings

When running an ad hoc job, you may also:

  • Add a custom title for the job instance (for example, Venue audit – follow-up inspection).
  • Trigger notifications to alert specific staff members when ad hoc jobs are created or submitted.

To set up notifications, refer to the guide on configuring triggers.

Ad hoc jobs let you complete inspections and one-off tasks exactly when they’re required. Instead of searching through a long list of scheduled jobs, you can quickly run the job you need and get it done.

No matter which device you’re using, Operandio makes it easy to start, complete, and submit ad hoc jobs so important work is recorded accurately and on time.
