Create a basic checklist in Job Manager

Open Job Manager and create a new checklist, give it a clear name, then add the tasks staff need to complete. Most tasks only need a checkbox, so staff can tick them off as they go. Group tasks into sections if the checklist is long. Finally, set a schedule so it appears for the right venue and area of work at the right time. Save it and your team will see it on their next shift.
Before you start
You need access to the Job Manager.
Your permission level must allow you to create or edit jobs/checklists for your assigned venue.
You should already know which venue the checklist applies to and when staff need to complete it.
1. Open the Job Manager
Log in to Operandio.
Open Job Manager.
Select the option to create a new checklist.
2. Complete the job details
When creating or editing a checklist, you’ll work through three main areas:
Details
Steps
Schedules
Start in the Details tab.
In this section:
Enter a clear checklist name, such as Daily Opening Checklist, Weekly Cleaning Checklist, or End of Day Checklist.
Add tags if your organisation uses them.
Review any job condition settings available to you.
When the details are complete, move to the Steps tab.
3. Add checklist steps
The Steps tab is where you build the actual checklist that staff will complete.
Each checklist item should be added as its own step. For example, if staff need to complete five tasks, add five separate steps rather than writing them all in one field.
To add a step:
Open the Steps tab.
Select Add step.
Enter the task or question you want staff to complete.
Choose the response type, such as Checkbox, Text, Number, Photo, or Signature.
Save or add the next step.
For a basic checklist, most steps should use Checkbox, as this lets staff simply confirm that each task has been completed.
4. Use sections to organise longer checklists
If your checklist has several parts, add sections in the Steps tab to group related tasks together.
For example, a checklist could be grouped into:
Opening tasks
Cleaning tasks
Equipment checks
End of shift tasks
To add a section:
Open the Steps tab.
Add a new step.
Choose Section or the section heading option.
Name the section.
Add the related checklist steps underneath it.
Sections are useful for making longer checklists easier for staff to follow.
5. Choose the right response type
When adding a step, choose the response type that matches what staff need to provide.
Use this response type | When the staff member needs to |

Text | Enter a short written answer, such as a note for the next shift. |
Long text | Enter a longer comment or explanation. |
Number | Record a quantity or count. |
Selection | Choose from a set list of answers. |
Photo | Upload evidence that something was completed or checked. |
Date / time | Record when something happened. |
Signature | Capture a sign-off. |
For a simple opening, closing, cleaning, or routine operations checklist, start with checkboxes and only add other response types when staff need to provide extra information or evidence.
6. Set up the schedule
A checklist needs a schedule so Operandio knows when it should appear for staff and which venue it applies to.
Open the Schedules tab.
Select the option to add a schedule.
Choose how often the checklist should run, such as daily, weekly, fortnightly, monthly, yearly, one-off, ad hoc, or unscheduled.
Set the available time, due time, or completion window if required.
Save the schedule.
7. Assign the checklist
After setting up the schedule, choose who the checklist should apply to.
Depending on how your organisation is set up, you may be able to assign the checklist by:
Location: select the venue or site where the checklist should appear.
Area of work: choose the relevant area of work responsible for completing the checklist.
Make sure the checklist is assigned to the correct location and audience so it appears for the right staff at the right time.
If you are a venue manager, you can only create or amend checklists for venues you have permission to access.
8. Review and save
Check that the checklist name is clear.
Confirm each section is in the correct order.
Make sure each checklist item has the correct response type.
Confirm the schedule is assigned to the correct venue and audience.
Save the checklist.
Example: basic checklist structure
A basic checklist could be set up like this:
Section: Preparation
Check the area is clean and ready to use (checkbox)
Confirm required supplies are available (checkbox)
Report anything that needs attention (short text response)
Section: During service or operation
Complete the required routine checks (checkbox)
Record any issues or follow-up actions (long text response)
Section: End of shift
Complete required cleaning or pack-down tasks (checkbox)
Confirm equipment has been checked (checkbox)
Add handover notes for the next shift (short text response)
